Group of fast-food Restaurants based in the V&A Waterfront is looking for a HR Administrator to provide first-line administrative support across the full HR function for the group, operating 30 restaurants across the Cape Town, Southern Cape, and Boland regions with approximately 900 employees. The incumbent ensures that employee master files, IR documentation, recruitment records, compliance trackers, and statutory returns are accurately maintained and audit-ready at all times. Working closely with the HR Lead and Payroll Manager , the HR Administrator is the operational backbone of the HR department , keeping systems current , stores supported , and documentation aligned to HR Audit requirements and South African labour legislation . Duties: Employee Records & Masterfile Management: Maintain complete, accurate, and audit-ready employee master files for all 900 employees across 30 stores File new starter documentation within agreed SLA Ensure ID, contract, induction, and payroll documents are filed correctly in the defined folder structure. IR Administration: Log all warnings, hearings, suspensions, and CCMA matters in the IR Tracker Prepare and file disciplinary documentation Track deadlines and escalate to HR Lead Maintain case files in the 05IR and Discipline folder structure. Recruitment Administration: Maintain the Recruitment Tracker Coordinate interview scheduling Process offer letters and pre-employment documentation Monitor vacancy-open-days against the 60-day target Liaise with Job Jack and store managers. Compliance & Audit Readiness: Maintain the HR Audit workbook and POE Binder File monthly evidence aligned to KSA questions Track store HR visit compliance Support preparation for and close-out of HR Audits. Payroll Support & BCEA Compliance: Pull weekly hours from Gaap clocks Flag 12-hour rest period breaches Distribute deviation reports Support monthly payroll input File signed timesheets and payroll documents. Statutory & Legislative Returns: Support annual WSP/ATR submission Maintain EE data for EEA2/EEA4 reporting Track National Minimum Wage updates File COIDA/WCL2 documentation Update the Annual Statutory Calendar HR Operations & Reporting: Complete daily, weekly, and monthly HR Operations Tracker tasks Maintain training stats (Vault/Domo/BI) Update bench plan and organogram Produce monthly HR reports for HR Lead. Requirements: Grade 12 Degree or Diploma in HR Management NQF Level 6 or equivalent At least 2-3 years of experience in a similar role, preferably within an industry handling high volumes.
