About this role
The Operations Administrator provides critical day-to-day administrative and logistical support to the call centre floor. In a high-energy, fast-paced environment, you will ensure that agents, team leaders, and campaign managers have the tools, space, and reports they need to function efficiently. Your primary focus is maintaining structural organization, managing facility assets, handling general correspondence, and compiling daily operational data. Key Responsibilities 1. Campaign & Operational Reporting Support Data Compilation: Collate daily attendance logs, campaign performance metrics, and agent KPIs from various team leaders into clean spreadsheets for management review. Roster Updates: Help distribute, update, and post shift schedules as directed by Workforce Management (WFM) to ensure all teams are aware of upcoming rotations. Meeting Administration: Schedule operational review meetings, compile agendas, and take detailed minutes for campaign updates and action items. 2. Asset, Inventory & Station Management Equipment Tracking: Maintain an accurate inventory log of physical floor assets, including headsets, keyboards, mice, ergonomic chairs, and office supplies. Station Audits: Conduct regular walk-throughs of the call centre floor to check for broken hardware, desk damage, or facility issues (e.g., lighting, air conditioning) and log maintenance tickets immediately. Supply Procurement: Monitor stationery and floor supplies, managing orders and replenishment requests against the department budget. 3. General Front-Desk & Floor Logistics Visitor Coordination: Welcome and sign in clients, campaign auditors, and vendor technicians arriving at the facility. Access Control Coordination: Liaise with security to manage agent locker assignments and distribute access badges or temporary day passes. Internal Communication: Keep the call centre communication channels up to date—posting announcements, policy reminders, and campaign milestone celebrations on bulletin boards or internal digital displays. 4. Vendor & Facilities Liaison Maintenance Liaison: Coordinate directly with internal cleaning, IT, and maintenance teams to ensure the call centre floor remains functional, clean, and compliant with health and safety regulations. Invoice Logging: Receive, cross-reference, and log operational invoices (e.g., for catering, technical suppliers, or office equipment rentals) before routing them to the finance team for payment approval.
Qualifications and experience
Required Skills & Competencies Exceptional Organization: The ability to prioritize multiple administrative tasks at once while handling the fast-paced noise and energy of a live call centre floor. Highly Adaptable: Comfortable adjusting to sudden changes, such as shifting workstation setups for a rapidly growing new campaign. Proficient in Spreadsheets & Systems: Solid command of MS Excel or Google Sheets for managing inventory logs and compiling reporting templates. Clear Communicator: Strong verbal and written skills to easily coordinate between frontline staff, management, and third-party facility technicians. Qualifications & Experience Education: National Senior Certificate (Matric) required. A Diploma or Certificate in Administration, Office Management, or Business Support is highly advantageous. Experience: Minimum of 2+ years of experience in a dedicated administrative or office support role. Advantageous: Previous experience working directly within a call centre, logistics hub, or retail operations center. Technical Savvy: Quick to learn internal ticketing software, booking systems, and productivity suites (Microsoft 365 or Google Workspace).
