A well-established organisation in Constantia is seeking an experienced and highly organised Executive Assistant to provide high-level administrative, operational and project support to the Chief Strategy Officer. The successful candidate will play a key role in managing the executive's time, information flow, communication and key deliverables, while working closely with senior stakeholders across the organisation. This is a demanding position that requires discretion, sound judgement, strong organisational ability and the confidence to operate at senior level. Key Responsibilities Calendar and Time Management Manage a complex and changing calendar across different time zones. Proactively identify and resolve scheduling conflicts. Prioritise meeting requests according to strategic priorities. Prepare daily and weekly briefing packs ahead of meetings. Communication and Correspondence Draft, edit and manage professional correspondence, emails, memoranda and board communications. Act as the first point of contact for internal and external stakeholders. Liaise with senior executives, board members, investors and external partners with a high level of discretion. Meeting and Board Support Prepare agendas and meeting materials. Attend meetings and take accurate minutes. Track action items and follow up with relevant departments to ensure deadlines are met. Coordinate logistics for strategy sessions, leadership meetings and retreats. Project and Strategic Support Assist with tracking strategic initiatives and performance measures. Conduct research, competitor reviews and data gathering for presentations. Assist with preparing presentations, reports and board documentation using PowerPoint and Excel. Travel and Events Arrange complex domestic and international travel itineraries. Manage expense reporting and budget tracking. Coordinate logistics for executive events and business engagements. Confidentiality and Professional Judgement Handle highly confidential commercial, personnel and strategic information with discretion. Use sound judgement when determining which matters require the executive's direct attention and which can be delegated. Cross-Functional Coordination Liaise with Finance, Legal, Human Resources and business unit leaders on behalf of the Chief Strategy Officer. Coordinate with the Chief Executive Officer's office and other executive assistants on shared priorities. Minimum Requirements At least 5 years' experience as an Executive Assistant or Personal Assistant supporting senior executives. Experience supporting executives at senior or executive leadership level is essential. Experience within a strategy, corporate development or mergers and acquisitions environment would be advantageous. Bachelor's degree preferred, although relevant experience will be considered. Advanced proficiency in Microsoft Office or Google Workspace, particularly PowerPoint and Excel. Experience with project management platforms such as Asana or Monday.com would be advantageous. Excellent written and verbal communication skills, including professional correspondence at executive and board level. Key Competencies Exceptional organisational and prioritisation skills.
