An exciting opportunity exists for a proactive and detail-oriented Tenant Liaison Officer to take responsibility for the day-to-day management of a residential building portfolio. This role is central to ensuring strong tenant relationships, optimal occupancy levels, efficient rental collection, and smooth lease administration processes. You will act as the key link between tenants and management—ensuring a professional, responsive, and well-organised rental environment while maintaining strong financial and operational control across the portfolio. Tenant Acquisition & Marketing Support marketing and networking activities to maintain optimal occupancy levels Manage waiting lists and engage prospective tenants Ensure visibility of site marketing materials and accurate tenant communication Tenant Screening & Pre-Take-On Assess applications and conduct credit checks, interviews, and affordability assessments Verify documentation and ensure compliance with qualification criteria Communicate application outcomes professionally and timeously Leasing, Handover & Onboarding Prepare and process lease agreements and ensure accurate signing and filing Conduct unit inspections, handovers, and tenant inductions Explain lease terms, house rules, and deposit requirements to new tenants Maintain accurate tenant records across systems and files Accounts & Rental Management Open and maintain tenant accounts on the property management system Process billing, debit orders, receipts, and reconciliations Generate monthly statements, arrears reports, and financial summaries Manage utility accounts and ensure accurate reconciliation Debt Collection & Credit Control Follow up on arrears and implement credit control procedures Issue statements, final notices, and conduct tenant follow-ups Escalate accounts for legal action where required Monitor and report on arrears performance Lease Administration & Tenant Relations Act as custodian of lease agreements and tenant records Handle tenant queries, disputes, and complaints professionally Enforce lease terms and house rules consistently Support tenant engagement and communication initiatives Administration & Reporting Maintain accurate filing systems (hardcopy and digital) Prepare weekly and monthly operational reports Ensure compliance with internal processes and procedures Welfare Support Liaise with social workers and welfare organisations where required Provide appropriate tenant support referrals when needed Minimum Requirements Grade 12 (Matric) Relevant qualification in property management, built environment, or related field Minimum 3+ years’ experience in property/tenant liaison or property management At least 2 years’ administrative experience Basic accounting knowledge and experience with CRM/property systems Strong computer literacy (MS Office essential) Please note that only suitable candidates will be contacted.
