Cape Town | Logistics Operations Step into a role where organisation meets finance! An exciting opportunity to join a dynamic and growing logistics company. Based in the beautiful city of Cape Town, this role offers the opportunity to become a key part of the organisation’s daily operations, supporting both finance and administration while working closely with senior management and the wider Group Finance team. KEY RESPONSIBILITIES Office Administration Manage the day-to-day administration of the Cape Town office. Welcome and professionally assist visitors, clients, and suppliers. Manage incoming calls, emails, and correspondence. Maintain accurate and organised physical and electronic filing systems. Coordinate meetings, appointments, travel arrangements, and accommodation. Prepare reports, presentations, meeting agendas, and minutes. Manage office supplies, stationery, and procurement requirements. Ensure the office remains organised, professional, safe, and fully operational. Financial Administration Process supplier invoices and verify supporting documentation. Prepare payment requests and follow up on required approvals. Record daily financial transactions and maintain accurate financial records. Assist with petty cash management and monthly reconciliations. Prepare expense reports and monitor office expenditure. Assist with monthly bank and account reconciliations. Liaise with the Group Finance team regarding accounting and reporting requirements. Maintain accurate financial documentation and filing for audit purposes. Assist with budget monitoring and cost-control initiatives. Procurement & Vendor Coordination Coordinate the procurement of office supplies and services. Obtain and compare supplier quotations in line with company procedures. Maintain accurate supplier records. Monitor supplier contracts and renewal dates. Ensure purchase requests and deliveries are processed timeously. HR & Administrative Support Assist with onboarding new employees and maintaining personnel files. Coordinate leave records and staff attendance. Support employee welfare and general office activities. Assist with ensuring compliance with company policies and administrative procedures. Compliance & Governance Ensure adherence to company policies, internal controls, and relevant South African statutory requirements. Maintain strict confidentiality of financial and employee information. Assist with internal and external audits by providing accurate supporting documentation. Reporting Prepare weekly and monthly administrative and financial reports. Monitor office operational expenditure. Ensure reports are accurate and submitted within agreed deadlines. REQUIREMENTS Qualifications: Diploma or Bachelor’s Degree in Business Administration, Accounting, Finance, Office Management, or a related field. Experience: Minimum of 3 years’ experience in office administration with exposure to finance or accounting. Exposure to accounting software such as Sage, Xero, QuickBooks, or similar will be advantageous. Strong Microsoft Office skills, particularly Excel, Word, and PowerPoint. Ready to take the next step?
