Keep Operations Running Smoothly and Projects on Track! A well-established organisation is looking for a highly organised and detail-oriented Site Operations Administrator to provide essential administrative and operational support within a site-based environment. This role will be responsible for supporting project coordination, reporting, travel arrangements, document control and overtime administration , ensuring that day-to-day operational requirements are handled efficiently and accurately. The ideal candidate will be proactive, organised and comfortable managing multiple priorities in a fast-paced operational environment. This is a fixed-term 6-month contract based in Swellendam. Key Responsibilities: Project & Operations Administration Provide day-to-day administrative support across site projects and operational activities. Assist with coordinating projects, monitoring deadlines, deliverables and outstanding actions. Maintain accurate project records, documentation and progress updates. Liaise with internal teams, site personnel and relevant stakeholders to support smooth project execution. Follow up on outstanding actions and provide updates to management. Assist with preparing project schedules, reports and related documentation. ED Reporting & Data Administration Compile, maintain and submit Enterprise Development (ED) reports and supporting documentation. Ensure reporting information and records are accurate and kept up to date. Gather information from relevant departments and stakeholders for reporting purposes. Maintain organised records for reporting and audit requirements. Identify missing or inconsistent information and follow up as required. Travel & General Administration Coordinate travel arrangements for site personnel, including accommodation, flights and transport. Prepare and maintain travel itineraries and communicate arrangements to employees. Maintain travel-related documentation and records. Provide general administrative support to the site and operations team. Assist with meetings, correspondence, documentation and other operational requirements. Filing & Document Control Maintain an organised electronic and hard-copy filing system. Ensure project, employee, travel and operational documents are correctly filed and easily accessible. Maintain accurate records in line with company procedures. Assist with document control and ensure information remains current and properly maintained. Overtime Administration Accurately capture and maintain employee overtime records. Update overtime information on relevant systems and spreadsheets. Verify overtime submissions and follow up on discrepancies or outstanding approvals. Ensure overtime records are submitted within the required deadlines. Maintain supporting documentation for payroll and audit purposes. Job Experience and Skills Required: Grade 12 / Matric is essential. A relevant qualification in Administration, Operations, Project Management or Business will be advantageous. 2 - 4 years' experience in an administration, operations or site administration role. Previous experience within a project or site-based environment will be advantageous. Strong Microsoft Excel and Microsoft Office skills. Experience in reporting, document management and data capturing. Excellent organisational and time-management skills. Strong attention to detail and accuracy. Ability to work independently, meet deadlines and manage multiple priorities. Apply now!
